OC Accommodation Booking and Cancellation Policy
To ensure smooth operations and avoid misunderstandings, the Organizing Committee (OC) has established the following Accommodation Booking and Cancellation Policy, which governs all delegation registrations, modifications, and cancellations. This policy is designed to protect the OC’s rights while providing reasonable flexibility to participating delegations.
1. Registration Deadline
All delegations must complete their accommodation bookings no later than 20th June 2026, which is one month prior to the tournament.
This deadline ensures that the OC can finalize logistics, room allocations, and related arrangements in a timely manner.
2. Early Check-In Policy
Arrivals prior to 0600 hrs will be billed from the previous night.
Early check-ins between 0600 hrs and 1000 hrs will be charged at 50% of the applicable rate, subject to room availability.
Arrivals between 1000 hrs and 1400 hrs will be allotted rooms strictly subject to availability, without additional charges.
3. Late Check-Out Policy (subject to availability)
Check-outs till 1600 hrs will incur a 25% charge.
Check-outs till 1800 hrs will incur a 50% charge.
Check-outs beyond 1800 hrs will be billed as a full day charge.
4. Cancellation and Modification of Delegation Composition
Delegations may request modifications to their composition (e.g., changes in the number of participants or officials) up to the registration deadline of 20th June 2026 without penalty, subject to room availability.
Any cancellations or reductions in delegation size after the deadline will be subject to charges determined by the OC, reflecting the costs already incurred in securing accommodation and services.
Additions to delegation size after the deadline will be considered on a case-by-case basis, depending on availability.
Purpose of the Policy
This policy ensures that the OC can manage accommodation efficiently, safeguard against last-minute changes that may disrupt planning, and provide fair and transparent guidelines to all delegations. By clearly defining deadlines, charges, and modification rules, the OC aims to prevent complications and maintain the integrity of the event’s organization.
This policy protect OC’s rights and prevent misunderstandings or complications from changes or cancellations
